The Vancouver Housing Authority (VHA) works closely with local governments and other community partners throughout Clark County to address issues of affordable housing and homelessness and help families break the cycle of poverty.

Who we are looking for

The Vancouver Housing Authority is seeking an Executive Assistant that provides highly responsible administrative and secretarial support work for the Executive Director, the Deputy Director, the Director of Finance, Chief Operating Officer, and the Board of Commissioners. The duties performed may be of highly confidential nature, and may include other policy development, budget preparation and management, organizational planning, and internal reviews not for public dissemination.

What you’ll do

Executive Support

  • Perform a full range of general secretarial and administrative functions, obtaining information, preparing results or studies on a variety of subjects, transmitting directives, and explaining executive decisions.
  • Maintain complex and highly confidential files. Establish and maintain effective and orderly paper and digital systems for documents, contracts, reports and records including records of a confidential nature for supported directors.
  • Establish and maintain well-ordered office systems and procedures, manage confidential information, receive and screen communications, and visitors.
  • As directed, determine, prioritize and schedule the supported directors’ internal and external meetings, daily schedules, and community functions; coordinate the preparation of needed materials.
  • Make travel arrangements and schedules for the supported directors and Commissioners; receive, reconcile and monitor related expense statements.
  • Prepare management correspondence and memos regarding non-routine matters. Proofread departmental standards. Receive, sort, read, route, and respond to mail as directed.
  • Maintain complex and highly confidential files. Establish and maintain effective and orderly paper and digital systems for documents, contracts, reports and records including records of a confidential nature for supported directors.
  • Ensure notary stamp is maintained and available as needed.

Staff of the Board of Commissioners:

  • Support the Board of Commissioners (VHA, CNPH, VAH), including the issuance of required public notices of meetings, preparation of agenda and distribution of Board packets to Commissioners.
  • Attend Board of Commissioners meetings, take and transcribe minutes, coordinate training and retreats.
  • Ensure all Board of Commissioner meetings and events comply with the law governing public meetings.
  • Manages and preserves records of all Board activities in accordance with state and federal requirements. Provides documents as requested to government officials, auditors, agencies, and general public.

What we offer

  • Starting pay rate is $4,438.00 – $4,881.00 per month based on experience.
  • Full-time, non-exempt position.

Requirements

What you’ll bring

  • Associates degree or equivalent experience. Bachelor degree preferred.
  • Five or more years of high-level administrative experience with three years executive level experience preferred;
  • Public event planning experience desirable;
  • Intermediate or expert level skill in Microsoft Word and Excel.
  • Experience with Public Records Act and the Open Public Meetings Act desirable.
  • Must have valid driver’s license and meet VHA auto insurance requirements.
